Quick Start

The following gives you a quick look at how to get started using the Enrollment feature in Spark. See other help docs for more detailed instructions.


Setting Up an Enrollment Program

Getting your enrollment system started in Spark takes just a few steps:

  • Create the Program: From Enrollment → + Add New Program, give it a name (e.g., 2026 School Year) and basic info.
  • Build the Public Banner Page: In the Public Banner tab, add as much information about your program as desired for potential applications to view.
  • Add Options: In the Program Options tab, add options for applicants to select (like Full-Day or Junior High). Creating options with prices is important if you wish to set up billing charges from the application.
  • Tweak Settings: Adjust the settings for your program in Settings. Settings include amission manager, fees, submission email templates, and whether your application is open to applicants.

Prepping the Application

Spark generates an application automatically once you have a program name and at least one option.

To tailor it to your needs:

  • Go to the Questions tab
  • Remove unneeded pre-built fields
  • Mark fields as required or optional
  • Add custom questions or additional forms in sections as needed.

Sharing the Application

Once your application is ready:

  1. Make sure your application is Open in Settings.
  2. Review it by clicking View Application Form
  3. If ready, copy the URL
  4. Share it via email, your website, text, or social media

Families can access the form anytime using this link.

Receiving Application Submissions

After applicants submit:

  • You’ll receive an email notification
  • The family gets a confirmation email
  • The application appears in your Applications tab with status Received

From here you can:

  1. Review Applications — Open the submission.
  2. Update Statuses — Change to Under Review, Waitlisted, Accepted, etc., with optional email notifications.
  3. Onboard Students — Create or sync students, guardians, and families directly from the application.
  4. Create Billing Accounts — Generate charges based on accepted options.

Next Steps After Enrollment

Once applications have been received and students and guardians have been onboarded into Spark, you can begin setting them up for the school year.

Assign Students to Classes

Add newly enrolled students to their classrooms so they can access courses, assignments, and schedules. This also ensures grades and attendance are tracked correctly from the start.

Students can be rostered to their classrooms during the application onboarding process if the options they selected are linked to classrooms.

Grant Portal Access

Once students and guardians are onboarded, they can log in to their Spark portals to view class information, assignments, grades, announcements, and more. Portal access can be managed in the Portal Access tab within each individual's profile, or from the main People -> Portal Access page.

Review Billing & Payments

If you’re using Spark’s billing features, take a few minutes to review your setup and confirm everything is ready.

  • Complete your billing setup by walking through the Billing Setup Guide
  • Double-check family accounts for accuracy
  • Create charges for each account
  • Set up invoices or installment plans as needed

Communicate with Families

Use Spark’s messaging tools to:

  • Send welcome messages
  • Share next-step instructions or orientation details
  • Communicate start dates, schedules, or required forms

Continue Managing Enrollment

Enrollment doesn’t end after acceptance. You can continue to:

  • Track application statuses
  • Accept late applicants
  • Reopen or duplicate programs for future terms
