Student Information


Student Profiles

This section provides pre-built fields for important student information, including

  • Full name
  • Grade level
  • Guardians
  • Family
  • Emergency contacts
  • Approved pickup persons
  • Special needs
  • Medications
  • Contact information

Custom Attributes

You can also add custom fields, called Custom Attributes, to store student- or school-specific information.

To add a Custom Attribute:

  1. Click + Add Attribute below the student’s main information.
  2. Create a new attribute by entering a name and selecting a type, or choose an existing attribute from the list.
  3. Once the attribute is created or selected, enter the value (the student’s specific information).

Custom Attributes are managed in Settings → School → Attributes.

Notes About Student

In the main Profile section you can add private notes about a student and control who can view them. Navigate to Admin → People → Student, select the student and type in the Notes About Student section. To choose visibility settings after saving, use the colored dropdown box.

Ways to use the Notes About Student:

  • Store information that doesn’t need a dedicated profile field.
  • Jot down quick observations or reminders.
  • Keep private notes for your reference only.
  • Create multiple notes, each timestamped.

Grade Levels

A student's Current Grade Level on their profile represents the grade level they are presently in.

Students can also have grade levels associated with specific Sessions, Programs, or Academic Years. This allows you to track a student's grade level over time as they progress through different enrollment periods.

Updating Current Grade Levels

You can update current grade levels for multiple students at once from People → Students.

  1. Select the students you want to update.
  2. Click Actions.
  3. Select Update Current Grade Level.
  4. Choose whether to assign a specific grade level or use Increment to Next Level to automatically move students to the next grade level.

Enrollment Grade Levels

Grade levels associated with a specific enrollment are managed within the Enrollment section. These can be viewed and updated from:

  • A student's enrollment record
  • The Enrollments page
  • A specific Session, Program, or Academic Year

Customizing Grade Levels

You can customize the grade levels available to your school by navigating to Settings → Grade Levels.

The grade levels you create here will be available throughout the platform, including:

  • Student profiles
  • Enrollment applications
  • Enrollment records
  • Student filters and reports
  • Other areas where grade level information is used

This allows you to support traditional grade levels, preschool programs, adult education, custom levels, or any other structure that fits your organization.

Other documents and information for the student can be accessed in the other Student page tabs, including

  • Portal access information
  • Assignments, Classrooms, and Library
  • Files
  • Grades
  • Reports and Transcripts
  • Form Submissions
  • Enrollment applications

Files

The Files tab in a student’s profile is a secure place to store important documents related to the student. Files can be uploaded directly or copied over from an enrollment application.

Common types of documents you may want to store here include transcripts, IEP or 504 plans, medical records, or student photos.

Grades

The Grades tab provides an overview of the student’s current grades for all grade records in the selected term. Click any record to see detailed assignments and scores. You can switch terms to view past or future grades.

Reports & Transcripts

All reports and transcripts generated for the student are stored in their Reports & Transcripts tab. You can also create a new transcript for the student here.

Form Submissions

Forms submitted by a student or linked manually to a student's profile will appear in the Form Submissions tab. To learn how to create forms, send form requests, and link submissions to specific profiles, see the Forms help docs.

Printing and Downloading Student Information

Student information can be printed or downloaded for your records from either the People → Students page or an individual student profile.

Printing Student Information

To print student information:

  1. Click Print at the top of the Students page or within a student profile.
  2. Select the information you would like to include.
  3. Review the print preview and click Print. You can either print a paper copy or select Save as PDF.

Downloading Student Information

To download student data:

  1. Navigate to People → Students.
  2. Click Download.
  3. Choose one of the following options:
    • All Student Data — Downloads all available student information.
    • Visible Columns Only — Downloads only the columns currently displayed in the table.
    • Selected Students Only — Downloads data only for the students you have selected.

Downloaded files are provided in CSV format, which can be opened in spreadsheet applications such as Microsoft Excel, Google Sheets, or Apple Numbers.
