In this guide, you will learn
- What an application funnel is and how it works
- How to use your application funnel
What is an Application Funnel?
The Application Funnel is where you manage and process the submitted applications for your enrollment program. It provides a clear overview of all applications and allows you to track their status throughout the enrollment process.
To find your enrollment program's funnel, open your program and go to the Application Funnel tab.
How It Works:
- New applications appear here once they are submitted with the status Received.
- The Status of applications can be changed to one of the following:
- Under Review
- Needs More Info
- Waitlisted
- Accepted
- Not Accepted
- When moving an application, you can send a custom email message to the applicant.
Using Your Enrollment Funnel
Once an application is submitted, it appears in the Application Funnel tab with the status Received. Follow these steps to process it:
Step 1: Review the Application
Click the application name in the Application Funnel to open it. Application details appear in the right column.
Step 2: Update Application Status
In the Admin section (left column), use the Status dropdown to update the applicant’s status.
You’ll have the option to send a customizable notification email. To skip sending it, uncheck "Send email to applicant."
Step 3: Onboard the Student into Spark
If accepted, you can onboard the student(s) directly from the application.
Student Section
- Click + New Student to create a new profile (choose Prospective or Active). Active students count toward your Spark subscription.
- Or select an existing student and click Sync. Review changes and click Save.
- Select accepted program options. If linked to a classroom, the student will be automatically rostered. Don’t forget to onboard all students listed on the application.
Guardian Section
- Click + New Guardian to create a new guardian, or select and Sync an existing one.
- Optionally create a billing account at this step.
Family Section
- Click + New Family to create a new family, or select and Sync an existing one.
Billing Section
- Create a new billing account or select an existing one.
- Click Create Invoice to generate an invoice based on accepted program options.
- You can customize line items, pricing, discounts, and invoice dates.
Step 4: Review Student Tallies
The Students Overview section at the top of the Funnel page displays the options for your program, along with tallies of how many students have been accepted into each option.
Important Note: The tallies will not update until the application has been Accepted.
